You're about to learn how to use Clients & Profits
ASAP without ever having to leave your seat. This
online tutorial is designed to introduce new users
to the service. It uses animation to
walk users step-by-step through the basic functions: opening a new job,
estimating, scheduling, entering time, tracking
job costs, and billing a client.
The tutorial is divided into lessons, each one
focusing on a different function (e.g., opening
a new job, estimating, scheduling, adding time,
etc.). Taken together, this tutorial will show
you how to use the essential production and accounting
functions of Clients & Profits ASAP.
Apple Quicktime 6.5 or higher is required to view
the tutorial videos. Earlier versions will not
work. If you don't have Quicktime, you can download
it for free here.

Adding
a Client (1:53)
Clients are the most essential part of your Clients & Profits ASAP database
for a simple reason: A job ticket can't be opened without one. Once the client
is added and saved, it can be seen and used immediately by other users.
Opening
a New Job Ticket (5:17)
A job ticket can be opened anytime
after it is conceived, and certainly before
the work begins. Adding a new job is easy: all
someone needs to know is the client number, job
name or title, and the work description or specifications.
Adding
Time (3:33)
Everyone can track their daily hours
using their time card. It keeps a daily
record of the jobs and tasks on which you work.
You can enter billable and unbillable time for
any client, including agency time (i.e., meetings,
vacations, etc.). Time entries are added throughout
the day as you work.
Adding
Job Tasks (1:45)
Job tasks can be added to job tickets anytime after a job has been opened. Adding new job tasks is quick and easy. Once added, new tasks can be used for estimating, scheduling, costing, and billing immediately.
Estimating (3:47)
Estimates are an integral part of a job and its tasks, so every job should have one. They're based on the tasks you've added to a job; in fact, tasks are the basis of the estimate. Up to three estimate amounts can be entered for each task.
Job Scheduling (2:42)
Like estimates, schedules are not created independently of jobs. Instead schedules are based on a job's tasks. In this example, we'll fine-tune the job schedule for the staff's production reports, then print a job schedule.
Traffic (3:02)
Traffic reports show jobs by status, including important dates and times. In this lesson, we'll give a job a "work in progress" status to add it to the Daily Job Status and Weekly Traffic reports.
Job Costing for Vendor Purchases (4:52)
When you buy something from a vendor on credit, the vendor's invoice is added into Accounts Payable. Invoices for job costs are added into A/P as they are received each day. In this example, you'll add a job cost invoice, check its net and gross amounts, then print A/P Summary and List reports.
Billing a Job Ticket (2:03)
Invoices are printed individually. The printed invoice shows the line items, billing amounts, descriptions, and notes you've entered into the invoices. In this lesson, we'll pre-bill a job ticket, then print an invoice as well as emailing one (as a PDF) to a client.
